Job Description

Beaumont Legal Recruitment is delighted to be working with a highly regarded UK law firm to appoint an experienced Executive Assistant to join its established Personal & Family / Wills & Executry team based in Edinburgh.
 
This is an excellent opportunity for an organised and proactive Executive Assistant, Legal Secretary or Administrator with experience within a private client, family law or wider professional services environment to join a collaborative and forward-thinking legal team.
 
The successful individual will play a key role in supporting a busy and high-performing practice area, delivering high-quality administrative and client support to lawyers and clients across a broad range of personal and family matters.
 
The Opportunity
 
Working closely with lawyers and paralegals, you will provide comprehensive executive assistant and administrative support across a varied workload, ensuring an efficient and professional service is delivered at all times.
This role offers exposure to a modern and evolving legal environment, with the opportunity to work alongside experienced legal professionals within a firm committed to innovation, technology and continuous improvement.
 
Key Responsibilities

  • Diary and inbox management for lawyers and legal teams
  • Coordinating meetings, travel and client appointments
  • Preparing, formatting and proofreading legal documentation and correspondence
  • Managing client onboarding processes and drafting letters of engagement
  • Assisting with billing, expenses and invoice processes
  • Supporting file management and document organisation across internal systems
  • Liaising confidently with clients and third parties via phone, email and in person
  • Managing priorities effectively across multiple tasks and deadlines
  • Supporting remote-working legal colleagues with office-based administration
  • Using legal technology and AI systems to improve efficiency and accuracy
  • Assisting with wider team administration and providing cover where required

About You
 
The successful candidate will ideally demonstrate:

  • Previous experience within a legal support or executive assistant role
  • Experience supporting Personal & Family, Private Client or Wills & Executry teams is highly desirable
  • Excellent organisational and time management skills
  • Strong communication skills with a professional and client-focused approach
  • The ability to prioritise effectively within a fast-paced environment
  • Strong IT skills across Microsoft Office applications including Word, Outlook and Excel
  • High levels of accuracy and attention to detail
  • A proactive and flexible approach with the ability to work independently and collaboratively
  • A willingness to embrace new technologies, including AI-driven systems and processes

Experience with systems such as BigHand, Aderant or document management systems would be advantageous, though not essential.
