Governance Coordinator, Permanent, £27,780pa, 35 hours per week
It is an exciting time to join the Law Society of Scotland. We have an opportunity within the Governance Team for a Governance Coordinator who is highly organised and has good experience of managing meetings, including agenda, papers and minutes. This role is a varied one and will provide secretarial support to both the Audit committee and Finance sub committee, both of which are key Governance committees. The role will also provide support to the Governance Secretary in managing our Board and Council; and support to the Governance Manager around risk management and business continuity. The role plays a wider part of improving and developing our Governance across the Society

Key Responsibilities for this role
- Co-ordinate all aspects of the Audit committee and Finance Sub committee meetings in accordance with the Committee remit and standing orders
- Provide administrative support to include meeting invites and preparation of agenda papers using meeting software
- Attendance at meetings, drafting minutes, updating forward planner and decision/action points
- Liaise with Governance Recruitment Team on Membership term dates and oversee applications and interviews
- Help manage the onboarding and offboarding membership of both Committees
- Support Committee members with governance and administrative questions
- Coordinate the updating of risk registers across the organisation and produce quarterly risk reports
- Be part of the Business Continuity Team as deputy plan owner for the Finance and Operations directorate and lead the admin role on the Incident Management Team
- Provide full meeting support for Council and Board in the absence of the Governance Secretary
Key Knowledge, Skills and Experience:
- Working with committees or volunteers
- Arranging meetings; liaise with caterers regarding orders and issues
- Knowledge of policies and processes
- Knowledge of good governance practices
- Minute taking
- Solid administrative experience
- Ability to quickly synthesise information to gain a detailed knowledge of the Society’s Rules and Guidance
- MS Office in particular word, excel, power point, outlook and teams.
- Solid time management and forward planning skills
- Problem solving skills
- Confident with various systems, including data bases and case management systems.
- Excellent interpersonal skills, high degree of emotional intelligence and ability to influence
- Highly organised and able to manage and prioritise workload to deliver targets
- Excellent communication skills, written and verbal
- Ability to meet deadlines and manage others to meet deadlines
- Attention to detail
