Job Description

We need a Billing and Time Recording Database Manager to take on our database – BillQuick. You must have previous experience of being a superuser of a similar type of time recording and billing database (but not necessarily BillQuick, as full training will be provided).  
 
The successful candidate will be our go-to person to get things done in BillQuick in an easy and efficient way. This role is well suited to a positive person, who can provide unflappable support to our Project Managers. A key part of this role will involve helping ensure that projects are set up correctly and invoiced accurately, so financial experience is essential.

Responsibilities will include:

  • Project set up – entering data accurately
  • Manage the invoice process and assist PMs with queries 
  • Calculate write ups/downs on invoices
  • Produce reports & KPI figures for Project Managers and Directors
  • Enter mileage and cross-check data
  • Check and approve employee expenses
  • Purchasing and credit card transactions

You will be based at MacArthur Green’s office in Glasgow (once government guidance permits return to working in the office). The role will be performed via home working until such time, so a good internet connection is a must.  
 
The work pattern will be five half days per week, Monday to Friday, during office hours (times to be agreed between 8.30am and 5pm), 20 hours per week. Please consider carefully whether you can commit to this working pattern before applying, as these requirements are mandatory.  
The successful candidate must be proactive and confident working with a range of people in the team as the successful candidate will work with and support our Directors and our onshore and offshore ecology and ornithology Project Managers.  

Requirements:

  • At least one year of experience as a superuser of a project management or CRM database
  • Knowledge or experience of finance including the sales invoice process and VAT 
  • Strong IT skills, including Microsoft Word, Outlook etc
  • Advanced Excel knowledge (formulae, conditional formatting, pivot tables, basic macros)
  • Great interpersonal skills 
  • Detail-orientated 
  • A natural problem solver with a flexible and proactive approach to work 

Salary £28,000 – £34,000 pro rata, dependent on experience, plus company pension contribution. 
 
Successful applicants will be short listed for interview. You will be asked to undertake a practical exercise involving VAT calculations and excel prior to interview. Depending on your performance during these exercises, we will write to you with the interview details.  

Interviews are based on our competency framework. We will look for evidence from you to support your level of competence for the role. 
Appointments are confirmed by letter after all our pre-employment checks on references have been satisfactorily completed.
